Job Description:

Job Function: Perform clerical and receptionist duties.
Supervises: No One
Reports To: Manager

Primary Responsibilities:
1. Monitor front doors, assist visitors and tenants, and answer phones with proper phone etiquette.
2. Perform typing and clerical duties.
3. Distribute and receive applications, and complete reference check forms for job applicants.
4. Have working knowledge of computers.
5. Perform cleaning duties as assigned.
6. Respond to emergency call system, make rounds, and check on tenants.
7. Assist in dining room during meal times.
8. Perform all other duties as assigned by the Manager.

Specific Duties – 1st Shift Desk Attendant:
1. Be friendly and service oriented.
2. Monitor the front door to see who is in and out.
3. Answer phones, write messages with necessary information and distribute to appropriate parties.
4. Keep front area neat.
5. Monitor and inventory supplies, and order on a monthly basis.
6. Monitor office equipment, i.e. fax, typewriter, and computer, etc.
7. Coordinate the distribution of all incoming and outgoing mail.
8. Change the dates of menus each week, print, and post.
9. Total the Beauty Shop commissions for each month.
10. Stay at front desk at all times unless doing cleaning or dining room duties or during and emergency situation. During cleaning duties, make sure to monitor board no longer than ten-minute intervals.
11. In the case of an emergency, if Manager or assistant not present, call 911 and tenant family.
12. Make rounds, check doors, and respond to emergency call system.
13. Log into security book any incidents that should be reported.
14. Read previous logs to update yourself.
15. Report any damages/repairs that need attention in the maintenance report sheet.
16. Ensure all outside doors are secure and respond when alarm is sounded.
17. Check tenants as they call in for morning check, and make sure to call and check on any tenants who did not call in. If no answer, physically check out the apartment to make sure they do not need assistance.
18. Keep track of people reporting that they will not be taking meals that day or need trays.
19. Assist with watering flowers in the summer or sweeping snow in the winter.
20. Assist in the dining room during mealtime.
21. Take phone inquiries for new customers.
22. Conduct facility tours for new customers.
23. Keep marketing material in inventory and order when necessary.
24. Perform other duties as assigned by the Manager.

Job Requirements:

Qualifications:
• Education: - High School diploma or equivalent
• Substitute for Education: - Evaluated on an individual basis
• Experience: - Prior experience with general office skills
• Substitute for Experience: - Evaluated on an individual basis
